Founding Recruiting Coordinator

Job Summary:

Calibratr is an AI-native embedded recruiting partner for high-growth startups. We are recruiters, founders, and operators with a track record of scaling teams from founding hires through Series B and beyond. We embed directly inside client teams and operate as a seamless extension of their hiring.

Our AI agent stack powers full-cycle recruiting and retained sourcing, tailored to each client. We focus on AI healthcare and AI-native startups from Seed to Series B.

Role Description:

The Founding Recruiting Coordinator is the operational backbone of every embedded engagement. You own the logistics that keep multiple client pipelines moving: scheduling, ATS hygiene, candidate communication, and status reporting. "Founding" is literal here. You will define the coordination playbook the rest of the team runs on as we scale. You work inside our AI agent stack (Ashby, Notion, Pin, Wrangle, Slack), keeping the system of record clean so our recruiters and sourcing agents can move fast.

Key Responsibilities:

• Interview scheduling across time zones and multiple concurrent client engagements
• ATS hygiene in Ashby: pipeline stages, candidate records, and reporting stay accurate and current
• Candidate experience end to end: timely communication, clear logistics, no candidate left waiting
• Maintaining the Notion knowledge base: client DNA, role specs, and recruiting trackers
• Weekly status reporting to recruiters, clients, and internal stakeholders
• Catching bottlenecks early (broken integrations, stalled pipelines, scheduling conflicts) and flagging them before they cost a hire
• Writing the SOPs and coordination workflows that future coordinators will inherit

Required Qualifications:

• 2+ years coordinating recruiting operations, in-house or at an agency
• Fluency with at least one ATS; Ashby experience strongly preferred
• Obsessive organization and follow-through across many moving parts
• Comfort operating at startup pace with incomplete information
• Genuine interest in working inside an AI-driven recruiting workflow, not against it
